The 30-second verdict

Fathom is one of the strongest AI meeting note-takers available in 2026.

It works with Zoom, Google Meet and Microsoft Teams to capture conversations, create searchable transcripts, generate concise summaries and identify action items. Instead of dividing your attention between the conversation and a notes document, you can remain focused and review an organised record afterwards.

Read our full verdict ↓

Fathom's free plan is a major advantage. Individuals receive unlimited recordings and transcriptions, instant AI summaries, clips and meeting search without a monthly transcription allowance. That makes it considerably easier to recommend than tools that offer only a short free trial or a restrictive number of minutes.

The newer Fathom experience also introduces bot-free capture options, allowing supported users to create a transcript without placing an obvious meeting bot in the participant list. However, this is still being rolled out, with some bot-free features remaining in beta or limited by platform.

Fathom becomes even more capable for teams. Paid plans add AI-generated action items, advanced summaries, conversational meeting search, shared folders, comments, keyword alerts, sales coaching and CRM syncing.

It is not flawless. AI summaries must still be checked, the product is primarily designed around live meetings, and recording a conversation introduces privacy and consent responsibilities. Fathom also cannot attend a meeting on your behalf when you are absent.

For most individuals and smaller teams, however, the combination of unlimited free recording, strong summaries and practical integrations makes Fathom one of the best places to start with AI meeting notes.

What is Fathom?

Fathom is an AI meeting assistant designed to record, transcribe, summarise and organise conversations. It connects with supported video-meeting platforms and captures what is said during a call. When the meeting ends, Fathom produces a transcript and an AI-generated summary, highlighting important points, decisions and potential next steps. Its main purpose is to remove the need for constant manual note-taking. This allows participants to pay closer attention to the conversation, ask better questions and maintain eye contact without worrying that an important detail will be forgotten. Fathom supports Zoom, Google Meet and Microsoft Teams through its desktop experience. Its developing iOS support also extends the service towards in-person meeting capture, although availability can depend on the version of Fathom being used. Depending on the selected plan, Fathom can record and transcribe meetings, identify different speakers, create summaries immediately after calls, extract actions and follow-up points, generate meeting clips, create playlists of important moments, search previous conversations, answer questions about meeting content, share recordings without requiring every recipient to create an account, send notes into workplace and CRM tools, analyse calls across a team, monitor keywords and recurring topics, provide sales coaching metrics, and connect meeting information with ChatGPT and Claude. Fathom can operate with a traditional meeting bot or, in supported configurations, use bot-free capture. Bot-free availability is still developing and may differ between operating systems and account versions. Fathom connects to a user's calendar and recognises upcoming supported meetings. When the meeting begins, the user can start Fathom manually or configure it to capture selected types of meetings automatically. Depending on the available version and chosen settings, Fathom may join as a visible participant or record through its bot-free desktop experience. During the conversation, users can mark important moments, create private notes or add highlights. Newer versions can also display a live summary that updates while the meeting is taking place. After the meeting, Fathom processes the conversation and creates a complete searchable transcript, an AI-generated summary, speaker attribution, important moments and highlights, suggested action items, a recording or meeting clip, and sharing and integration options. Ask Fathom provides a conversational interface for questioning the meeting. Instead of reading a long transcript, a user can ask questions such as what the client agreed to, which objections were raised, what actions were assigned, whether anyone mentioned a deadline, what product features the customer requested, and what should be included in the follow-up email. Team plans expand this search across multiple conversations, allowing organisations to identify themes and retrieve information from their wider meeting history.

What to know before paying

  • Business is most useful when CRM field syncing, deal intelligence and coaching can produce a measurable operational benefit.
  • The Team and Business prices are per user and require at least two users.
  • Bot-free capture should be tested on the devices and meeting platforms used by your organisation because availability varies.
  • Fathom can record only when the user is present in the meeting.

  • The service is not intended as a general upload-and-transcribe platform for existing recording archives.
  • Review how recordings, transcripts and sharing links will be managed before deploying Fathom across a team.
  • Do not assume every automatically identified action is correct. Important summaries should receive human review.
  • Confirm that any required CRM, security or data-retention features are included in the selected plan.
  • Some Enterprise security and compliance features require a custom contract.

Privacy & data

A Fathom recording can contain personal data, confidential business information, customer details, employment discussions and other sensitive material. Organisations should treat recordings and transcripts as business records rather than disposable AI output.

Fathom states that it is compliant with GDPR, HIPAA and SOC 2 Type II requirements. It also offers administrative features such as SSO, SCIM and custom data-retention controls on eligible organisational plans.

These certifications do not automatically make every use of Fathom compliant. The organisation using the tool remains responsible for having a lawful reason to record and process the conversation, informing meeting attendees, obtaining consent where required, limiting access to recordings, selecting appropriate retention periods, controlling external sharing, protecting special-category or regulated information, reviewing connected CRM and automation permissions, responding to deletion and access requests, and completing risk assessments where necessary.

Fathom does not provide a way to conduct a completely invisible recording. Its traditional bot appears as a participant, while the bot-free experience still includes forms of recording visibility or permission.

UK organisations should consult the ICO's transparency guidance and obtain professional advice for high-risk or regulated deployments.

Healthcare organisations should not assume that a general account is suitable merely because Fathom describes the service as HIPAA compliant. The relevant plan, contractual terms, Business Associate Agreement, internal governance and local regulations must all be considered.

Commercial use

Fathom is designed for professional and commercial meetings. It can be used for client conversations, sales calls, recruitment, customer support, internal projects, product research, training and other legitimate business activities, subject to its terms and applicable law.

Businesses remain responsible for checking generated summaries, protecting confidential information, complying with recording and privacy laws, obtaining appropriate permissions, reviewing AI-generated actions, managing CRM access, preventing inappropriate sharing, following employment and recruitment rules, meeting sector-specific requirements, and ensuring that an AI summary is not treated as unquestionable evidence.

A Fathom transcript should not automatically be treated as a legally definitive account of a conversation. Audio quality, speaker identification and transcription errors can affect the record.
